The clinical team had no real-time visibility into item availability across locations. Equipment sat idle at one site while another borrowed from a third. We built a real-time resource and supply management platform for clinical operations, combining equipment tracking and consumable inventory with AI-driven demand forecasting based on patient census and diagnosis data from the EMR. We implemented Lean Inventory principles for clinical consumables (excluding medication management).

The key architectural decision: connect the supply forecasting engine directly to the EMR. Patient census, admission diagnoses, and planned procedures are far more accurate predictors of consumable needs than backward-looking order histories.

Live occupancy dashboard per ward, per site, and across all sites. Receives admission and discharge updates via EMR integration and forecasts occupancy for the next 7 days based on planned admissions and historical patterns.

Machine learning model reads patient census, admission diagnoses, and procedure schedules from the EMR, mapping them to expected consumable types and quantities. Generates a 14-day supply forecast for required materials.

Real-time stock tracking per item and location (ward, storeroom, procedure room) using barcode-based consumption recording. Dynamic reorder points are calculated from the AI forecast rather than fixed par levels, accompanied by expiry date tracking and waste alerts.

Complete inventory of clinical equipment across all sites—monitors, infusion pumps, surgical instruments, and diagnostic devices. Includes status tracking (available, in use, maintenance, decommissioned) and utilization reporting to identify idle assets available for redeployment.

Bi-directional HL7 FHIR R4 integration reads patient census, diagnoses, and procedure schedules, while writing consumption data back to patient records for clinical costing. Compatible with Epic.

Site-manager and group-level dashboards tracking consumption vs. forecast variances, waste and expiry metrics, and cost per patient day by consumable category. Provides inter-site transfer recommendations when one site has a surplus and another faces a potential shortage.
